 Dear Vendor:

The Sherman Lake YMCA Outdoor Center would like to invite you to be a part of the 2018 Interactive Family Health Fair on Sunday, April 22, 2018. The Fair will be here at the Sherman Lake YMCA Outdoor Center with vendors located in the Recreation Center’s gym. This is our fifth year hosting the Health Fair and last year’s event drew almost 400 visitors! The YMCA will also be hosting a Summer Camp Extravaganza Open House that afternoon, in the same location, which draws many families, as well.

Each vendor is encouraged to provide an interactive and/or educational activity to inform the community on the aspects of health and wellness. We appreciate everyone’s involvement and are looking forward to a fantastic health fair this year!  

Here are a few things that will help guide you through the event:

Registration: Vendors can register via our online form at: https://kellywhitedesign.wufoo.com/forms/zhu04f70vw9g1w/. There is a minimal fee for your participation in this event. The booth rate is $40 (non-profits receive a reduced rate of $20).

Wellness Clause: Please be sure that your booth pertains to overall health and wellness.  No candy, soda or unhealthy items may be displayed, consumed, or promoted at the health fair. We are here to model a healthy lifestyle along with healthy activities.  Please be sure all of your volunteers are well aware of and following this policy. We greatly appreciate it!

Promotions: We love it when our vendors help spread the word! A promotional ad for the event will be sent to you via email after you’ve registered that you can send to your contacts.

Scavenger Hunt Prizes: We will be engaging participants in a fun, interactive scavenger hunt. Please indicate on your registration form if you would like to donate something for our winners!

 Parking: Vendor parking will be in a designated area (we will have signs to direct you). Vendors may drive up to  the building to drop off materials; volunteers will be available to direct and assist you.

Vendor Table Assignment:  Space assignments are first come, first serve. However, the Health Fair organizers reserve the right to make any changes to booth assignments or floor plans as necessary. 

Set-up/Tear-Down: The Health Fair runs from 1pm - 4pm.  Set-up time will be available from 11am-12:30pm and the doors will open at 1:00pm.  Please arrive in plenty of time to have your booth ready by 12:45pm. Please stop at our registration table, located just inside the entrance, when you arrive to check-in. Exhibitors are asked to leave their table set up in its entirety until 4pm.Tear-down should be complete by 4:45pm.

Booths: Vendors may choose from a half (shared) or full (8-foot) table. Booths include a tablecloth and two chairs. If you need additional space, electrical outlets or special accommodations, please indicate this on your registration form.

Cancellation: If you need to cancel, please email Carrie Hybels at CarrieH@ymcasl.org or call 269.731.3039 by April 15, 2018. In case of weather or any other causes beyond our control we will do our best to notify everyone. There will be no refunds for space not occupied.

Security/Liability: Vendors are solely responsible for their own materials and should insure their exhibits against loss or damage. Vendors giving away healthy, ready-to-eat food items, or engaging the public in physical activities at the Interactive Family Health Fair including bouncing, tumbling and jumping must provide proof of liability coverage specific to the Interactive Family Health Fair. Most insurance companies will provide a rider for a one-day event at no charge; please check with your insurance agent.
